Booking Policy


Note: Please ensure you are familiar with the protocols and policies you must adhere to when making use of this service. Be aware that rooms CANNOT be booked between 17:00 and 18:00 on weekdays, as this time is used to sanitise and coordinate spaces ahead of teaching hours. Furthermore, although the Malet Street building is open for use 7 days a week, other facilities may not be available during the weekend, such as the Central Building and Gordon Square. 





Running a student group event is relatively easy, and there is a host of support and resources available to you should you wish to do so. Most minor events, such as meetings, casual get-togethers and socials require no formal submissions or interaction with the Activities Team other than submitting a Room Booking should you need one. 

In planning other events that may require additional support such as hosting large numbers, catering, equipment or outdoor venues; an event proposal form should be completed. You can find this form in our Resources Library here (link), as well as more extensive guidance and policy surrounding hosting events on campus. 

All events should be advertised on our events platform, even if you do not wish to ticket the activity or charge attendees. Committee members will receive training on how to do this, but in the meantime if any guidance is needed then please see the Administration Manual in the Resources library.
